Working approach

to the implementation of Management Systems

Success Criteria

  • Avoid double work
  • Ensure that new processes/documents add intrinsic value to the company
  • Avoid excess documentation
  • Ensure continuity of the mission: avoid “discontinuities” in the implementation phase

6 mistakes to avoid ...

  1. Training of too few employees, delayed involvement of all colleagues and Top management
→ All employees need to adopt the system, and Top management has to influence the implementation of the system to make it conform to its guidelines/vision
  2. Too long interval between training and implementation: loss of knowledge
  3. System is implemented only to obtain the certificate: not enough intrinsic added value for the company
  4. Documents/methods-tools are oversized or even useless in relation to the company’s context
  5. Lack of knowledge about the methods/tools required to meet the requirements: opportunities not seized
  6. Focusing too much on the PLAN and forgetting the DCA

Value proposition

  • Beyond the objective of certification
→ promote the development of the client’s employees’ compentencies
requirements of standards/laws are used as a springboard to strengthen the skills of employees
  • Valunorm works in real time with its clients in order to “build together” :
Valunorm favours group work sessions during which documents are written in “real time” and methods/tools are used on practical cases
→ Objective at the end of each session: provide concrete deliverables, such as documents or analysis reports
  • The working sessions aim at developing the collaborative capacity of colleagues and to strengthen the mutual knowledge among the client’s various departments

This collaborative format allows clients to progress much faster, while limiting the number of hours of Valunorm
very favourable quality/price ratio

Gap analysis: methodology

  • Gap analysis and training are carried out concomitantly in group sessions : to discuss and understand together and start building a system that everyone can make their own
→ proactive and individualised participation of the participants
  • Clause by clause approach : the service is segmented into sessions dedicated to each theme of the standard/legal text; the client’s processes/procedures are compared with each requirement of the standard/legal text
  • The requirements of the standards/legal text are presented through practical examples adapted to the client

Output : Report with identification of gaps and solutions = elements to be put in place based on the context (size and service of the company)

Implementation scheme

  1. Gap analysis and concomitant training on standards/legal text
  2. Identification of methods/tools to meet the normative / legal requirements
  3. Setting up the PLANNING and implementation process
  4. Short theoretical training on the methods/tools
  5. Application of the methods/tools on a pilot project(s)
  6. Drafting of procedures/processes
  7. Do Check Act
  8. Preparation for the certification audit
